Summary: Setup fee is $0 for founding clients (first 10). Monthly retainer is $997/mo, payable via Xflow ACH only. Month 1 is protected by our 30-Day ROI Guarantee — if Emma fails to capture at least one valid emergency job in your first 30 days, Month 2 is free.
1. One-Time Setup Fees
Setup fees (when applicable) cover the full cost of building and deploying your AI voice receptionist: Retell AI agent configuration and voice training, dedicated phone number provisioning via Twilio, custom n8n automation workflow build (job card routing, SMS/WhatsApp alerts, missed-call follow-up logic), and end-to-end testing on your live call flow. These are real hard costs incurred on your behalf — not just service time. Because this work begins immediately after payment and onboarding form submission:
- Founding Client Offer: The setup fee is $0 for the first 10 clients. No refund applicable on a $0 fee.
- Standard Setup Fee ($997 — from client 11 onwards): A full refund is only available if requested within 3 hours of payment, provided no agent build work has begun. Once the onboarding form is submitted or a number provisioned, the setup fee is non-refundable.
2. Monthly Retainer Fees
- Monthly retainers ($997/mo) are generally non-refundable once a billing period has started, with the exceptions listed below.
- Exception — Verified Service Failure: If the AI agent experiences downtime exceeding 48 continuous hours due to a fault on Breculia AI's part, a pro-rata credit will be issued for the affected days toward your next billing cycle.
- Outages caused by third-party platforms (Retell AI, Twilio, Airtable, Xflow) are outside Breculia AI's control and do not qualify for refunds or credits. Best-effort service restoration will be made during such outages.
- Cancellations must be submitted in writing at least 7 days before your next billing date to avoid the subsequent month's retainer charge.
2A. 30-Day ROI Guarantee
We survive on results. If the Breculia AI system fails to capture at least one valid inbound job inquiry within the first 30 days of go-live, you may request a full free for the Month 2 retainer ($997). To qualify:
- Submit a written request to founder@breculia.tech within 30 days of your go-live date
- Use subject line: Guarantee Claim — [Your Business Name]
- The failure to capture a job must not be due to client negligence (e.g., you failed to forward your phone lines to the AI number, or forwarding was cancelled mid-period)
- Supplier will verify call logs within 3 business days
- Approved refunds(after charges) processed within 7 business days via Xflow ACH reversal to the original account
3. What Qualifies for a Refund or Credit
- Standard setup fee ($997) cancellation within 48 hours of payment, before onboarding form is submitted and before any build work has begun.
- Month 2 retainer free under the 30-Day ROI Guarantee (see Section 2A).
- Pro-rata billing credit for verified downtime exceeding 48 continuous hours caused by Breculia AI (not third-party platforms).
- Duplicate payments — 100% refunded immediately upon confirmation via Xflow.
4. What Does Not Qualify for a Refund
- Setup fees after deployment has begun (onboarding form submitted, agent configured, or number provisioned).
- Monthly retainer fees beyond Month 1 (no refund for partial months or cancellations mid-cycle).
- Failing to capture a job due to client negligence (e.g., failure to forward phone lines to the AI number, or forwarding cancelled during the guarantee period).
- Outages caused by third-party platforms (Retell AI, Twilio, Airtable, Xflow).
- Change of mind after deployment has commenced.
- Dissatisfaction with call volume or revenue outcomes — Breculia AI does not guarantee specific business results.
5. How to Request a Refund
Email founder@breculia.tech with subject line "Refund Request — [Your Business Name]" and include your Xflow invoice number and a brief description of the issue. We respond within 2 business days. Approved refunds are processed within 7 business days via Xflow ACH reversal to your original account.
6. Disputes & Chargebacks
If you believe you have been charged incorrectly, please contact founder@breculia.tech before initiating any dispute or reversal through your bank or Xflow. We resolve all billing disputes promptly and fairly — most are resolved within 2 business days.
Payment reversals or ACH disputes initiated without prior written communication to Breculia AI will result in immediate service suspension and may affect future eligibility for services. Any bank or Xflow processing fees incurred due to a retracted, failed, or fraudulent reversal are the responsibility of the client.
This policy is governed by the laws of India, consistent with Breculia AI's operating jurisdiction (Chennai, Tamil Nadu). For US clients, disputes follow the resolution process outlined in the Terms & Conditions.
